What it does
A complete system usually covers:
- Learner records: admissions, classes, streams and promotions.
- Finance: fee structures, invoices, payments, receipts and statements.
- Academics: marks, assessments, analysis and report cards.
- Attendance: registers and sometimes fingerprint terminals.
- Staff: records, payroll and leave.
- Communication: SMS, notices and a parent portal.
How it differs from a spreadsheet
A spreadsheet holds numbers but does not know about the rest of the school. It cannot match an M-Pesa payment to a learner, stop a teacher from changing another teacher's marks, record who changed a figure, or text a parent. Several people cannot safely work in it at once, and it depends on one person's file.
School ERP, SMS, SIS: are they different?
In practice these names overlap. School ERP stresses that finance, HR and academics are combined. Student information system usually means learner records and academics only. In Kenya, school management system is the everyday name, while "SMS" also means text messaging, so check which one a vendor is talking about.
Does a school need one?
The signs are familiar: fee balances that parents dispute, weeks spent on report cards, payments that take days to allocate, and a merit list only one teacher knows how to produce. A small school benefits as much as a big one, because it has fewer people to absorb the paperwork.
